InboxBay / WhatsApp team inbox

WhatsApp shared inbox

One WhatsApp number. The whole team in the thread.

The usual WhatsApp setup is one phone, one login, and a team that forwards screenshots. A WhatsApp team inbox lets multiple agents work the same WhatsApp Business number — assign the chat, leave a note, keep the history.

Why one number needs more than one person

The phone does not scale

When the business number lives on one handset, nights, weekends and holidays become a single person’s problem.

Leads go cold

A buyer asks about stock at 9pm. If nobody else can see the thread, the reply waits until that agent is back.

No audit trail

Personal WhatsApp has no assignee, no internal note, and no way to tell who already promised a refund.

What multi-agent WhatsApp looks like in InboxBay

Connect WhatsApp Business, then treat it like any other inbox conversation:

  • The incoming chat appears in the shared queue with the customer’s name and last message.
  • An agent takes ownership, or round-robin automation assigns the next person.
  • Teammates see who is viewing or typing before they pile into the same reply.
  • Internal notes stay on the conversation — warehouse, VIP, last late order.
  • Saved replies cover order status, hours, and the questions you already standardized.

InboxBay does not replace WhatsApp Business and does not collect Meta’s conversation fees. Those stay with Meta. The product job is the team inbox around the number you already have.

WhatsApp is usually one channel among several. Keep Instagram DMs and email in the same omnichannel inbox so a customer who writes on two channels is still one history.

WhatsApp team inbox FAQ

Can multiple agents use one WhatsApp number?

Yes. InboxBay connects to WhatsApp Business so several agents can work the same number from a shared inbox. You assign conversations instead of passing a phone around.

Does InboxBay replace WhatsApp Business?

No. InboxBay sits on top of WhatsApp Business. Meta still operates the channel and bills WhatsApp conversation fees. You keep the number.

What happens if two agents open the same WhatsApp chat?

Collision detection shows when a teammate is already viewing or typing, so two people do not send conflicting replies.
